Loadin Media – Terms & Conditions (2025)

These Terms & Conditions apply to all services provided by Loadin Media. By making a booking, the client agrees to be bound by these Terms in full.

1. Pricing & GST

All prices are stated in New Zealand Dollars (NZD) and include GST unless otherwise specified.
Quotes are based on the information and brief provided at the time of booking.
Any additional services, changes, or requests outside the original scope of work may incur additional charges.

2. Media Rights, Usage & Turn Around times

All usage rights to delivered media are granted exclusively to the paying client or nominated agent.
Third parties may not use, reproduce, or distribute any content without the prior written consent of the client.

Raw footage is not supplied unless agreed in writing prior to the shoot and may incur an additional fee.

Indicative Turnaround Times:

Photos & Floor Plans: Next business day
Video: 3–5 business days
Revisions: Within 2 business days of initial delivery

Turnaround times are estimates and may vary due to unforeseen circumstances.

3. Bookings, Cancellations, Weather & Access

Cancellations or rescheduling must be made at least 24 hours prior to the scheduled shoot time to avoid fees.

In the event of adverse weather:

Interior photography will proceed unless otherwise agreed
Exterior photography may be rescheduled
A call-out fee of $190 may apply where applicable.

A cancellation fee of 50% of the total booking value may be charged if:

Cancellation occurs within 24 hours or without notice
The property is inaccessible at the scheduled time
The property is not suitably prepared for the shoot

Cancellation and call-out fees reflect reasonable costs incurred, including time, travel, and lost booking opportunities.

Overtime may incur additional charges, subject to availability.

4. Reshoots

Any issues with delivered content must be reported to hello@loadinmedia.co.nz promptly.

A $190 reshoot fee will apply where a reshoot is required due to circumstances outside Loadin Media’s control, including but not limited to:

Changes to staging or presentation
Obstructions (e.g. vehicles, people, or items in frame)
Unprepared or inaccessible properties

5. Property Preparation

Loadin Media does not move furniture, declutter, or stage properties unless the agent or vendor is present and actively assisting during the shoot. Loadin Media accepts no responsibility for property preparation.

6. Media Storage & Retrieval

Delivered files are archived for three (3) months from the shoot date.
Retrieval after this period is not guaranteed.

Clients are responsible for downloading, storing, and backing up all delivered files.

7. Payment Terms

New Clients: Full payment is required prior to the shoot to confirm the booking.

Approved Clients / Agencies: Payment is due by the 20th of the month following the invoice date, subject to prior credit approval.

Late payments may incur a late fee of up to 5% per month.
Persistent non-payment may result in suspension of services and referral for debt collection, with recovery costs payable by the client where permitted by law.

8. Payment Methods

Accepted payment methods include:

Bank transfer
Credit card

Bank account details are provided on all invoices.

9. Limitation of Liability

To the maximum extent permitted by law, Loadin Media’s total liability for any claim arising from the provision of services is limited to the value of the services provided.

Loadin Media shall not be liable for indirect, consequential, or economic loss.

10. Force Majeure

Loadin Media shall not be liable for any delay or failure to perform services due to events beyond reasonable control, including but not limited to weather events, illness, equipment failure, or acts of God.

11. Governing Law

These Terms & Conditions are governed by and construed in accordance with the laws of New Zealand.

12. Acceptance of Terms

By proceeding with a booking through Loadin Media — whether via email, online form, phone call, or any other method — the client confirms that they have read, understood, and agree to be bound by these Terms & Conditions.

Acceptance is automatic and binding upon booking confirmation, regardless of whether a physical or digital signature has been provided. These Terms are available on the Loadin Media website and upon request.
